Jentry Terms of Use

These terms govern use of Jentry, the bookkeeping and practice-management software, as operated by Jaccountancy (UK) Ltd (company no. 12059528, Maling Exchange, Hoults Yard, Walker Road, Newcastle upon Tyne, NE6 2HL — "we", "us").
1. What Jentry is
Jentry is bookkeeping and practice-management software for accountancy practices and their clients. Each practice runs its own separate workspace, and its clients sign in to capture receipts and mileage, share documents, and see their own records.
These terms cover the workspace operated by Jaccountancy (UK) Ltd — the practice you have engaged. We use Jentry to deliver the accountancy and bookkeeping services set out in your engagement letter with us. It is provided as part of those services and carries no separate charge unless your engagement letter says otherwise. If you use Jentry with a different practice, that practice's own terms apply.
2. Relationship to your engagement letter
Your engagement letter and our General Terms and Conditions remain the contract for our services. If these terms conflict with them, the engagement letter and General Terms and Conditions prevail. Ending your engagement with us ends your right to use Jentry.
3. Sending us documents
When you upload, photograph or email documents to your dedicated Jentry address, you confirm that:
- the documents are genuine records of your business;
- where they contain personal data about someone else (for example a supplier or employee), you are authorised to share it with us; and
- you will not submit anything unlawful, malicious, or unrelated to the services we provide you.
We may decline to process documents that do not meet these conditions.
4. How your data is handled
Processing of personal data in Jentry is described in the Jentry Privacy Notice and our main Privacy Policy. In short: your records are processed to deliver your services, are protected by encryption and access controls, and are never sold.
Where we act as your tax agent, Jentry connects to HMRC on your behalf — with your authorisation through HMRC's Making Tax Digital service — to check supplier VAT numbers, confirm our authorisation to act for you, and read your VAT obligations and liabilities so we can manage your VAT. We use that access only to deliver the services in your engagement; HMRC's own use of your data is governed by HMRC. You can withdraw our HMRC authorisation at any time (doing so may limit the services we can provide).
5. AI assistance and professional review
Jentry uses AI services to read documents and suggest bookkeeping treatment. Suggestions are reviewed by our team in the course of delivering your services. Responsibility for the accounting output we deliver to you is governed by your engagement letter; the AI suggestions themselves are an internal working tool, not advice.
6. Client portal access
Where we give you sign-in access to view your account:
- keep your credentials confidential and tell us promptly about any suspected unauthorised access;
- access is for your business's records only — you must not attempt to access another client's data or probe, overload or interfere with the service;
- we may suspend access to protect the service or your data, or where your engagement with us ends;
- you can delete your own account at any time from Settings in the Jentry mobile app. Deleting it ends your access immediately and cannot be undone by you. Records you have already submitted stay in our accounting records for the statutory period and are de-identified from you — see Deleting your account in the Privacy Notice. Deleting your account does not end your engagement with us.
7. Availability
Jentry is provided as part of our professional services, not under a separate service-level agreement. We aim for high availability but do not guarantee uninterrupted access, and we may change or withdraw features as the software develops. Your statutory records are always available from us on request regardless of software availability.
8. Intellectual property
Jentry, including its software, design and branding, belongs to Jaccountancy (UK) Ltd. Your business records remain yours; you grant us the rights needed to process them to deliver your services.
9. Liability
Nothing in these terms excludes liability that cannot be excluded by law. Our liability in connection with the services, including the use of Jentry, is as set out in your engagement letter and our terms of business.
10. Changes
We may update these terms as Jentry develops. Material changes will be notified to you and shown in-app, with the latest version date shown above.
11. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
